First Quarterly Meeting
June 4, 2012 – called to order at 7:30 pm

1. Agenda – Moved by Dawn Wood, seconded by Jon Guy that the agenda be approved with the addition of Ferry, BBQ report and Fire report. CARRIED
2. Minutes of March 7, 2012 were read and approved
3. President’s comments – Sam Peramaki reported that it was her mission to see that the required refurbishment of the hall is accomplished and she thanked everyone for their continued support and help.
4. Correspondence –
A. sent a letter to advise the Community Club that the Community Access “CAP” will no longer be funded by grants. They have on hand enough funds to run it for two more years. It provides the public access at the library and a server for Saturnacan.Denise Kuzyk
B. Money wrote a letter on behalf of the SIFPS requesting $5000 for the training of two drivers for the new fire truck. Sam Peramaki read the entire letter aloud. She also read her response to the letter which she has not yet sent. There was some discussion around the sending of the letter, the amount of funds that the SCC has and why shouldn’t they be spent to train firefighters, that the SIFPF has an annual budget of $200,000 of the tax payer’s money and other issues regarding the request. Lee Middleton (member of the SIFPS board) clarified that the letter was sent out prematurely and the SIFPS was exploring other options, and that he thought the letter that Sam had written was quite appropriate to send. 5. Treasurer report – presented the previous year’s Income Statement and the Balance Sheet as well as the summary of the various “Projects”. Total income for 2011-2012 fiscal year was 61,065.44 with expenses of 54,548.48. There is at least one major expense outstanding regarding the heating system. Jacques also reported the extraordinary expenses included $100 for executive expenses, $920 donations for FAB, $125 for donations to SIFPS, $1,000 grant to SRCS for gym equipment. 6. The Chair wanted to clarify the amount of funds the executive could spend without having a special meeting or waiting for a quarterly meeting. Jon Guy moved, seconded by Douglass that “The Chair, Treasurer and one other director could spend up to $500 for exigent or pressing matters.” CARRIEDBill
7. Hall Maintenance - Priscilla Ewbank
C. The smoke detectors were checked and repaired, as well as the lighting and some other details.
D. June 9 will be the spring clean up from 10am to 2 pm
E. The Fire chief reports that Fettis is the expert regarding the fire place in the hall and the SCC needs to review his comments and proceed. The executive will review the comments of Fettis and make a decision as to how to proceed to ensure the fire place in the hall is safe to use.MarkMark
F. The Pig BBQ “stuff” that is in the parking area can be cleaned out by anyone who wants it. (Blessings from the fire fighters)
8. Lamb Barbeque progress report
G. Sam Peramaki read a memo from Michel Bourassa regarding the ferry service on July 1, 2012. They will delay the departure from to 9:00 am in order for there to be a connection from the Tsawwassen side. There will be no dedicated sailings. It is important to be sure the passengers are loaded and unloaded as efficiently as possible. Also important to get this on the BBQ website.
H. Dawn reported that Stephan will be baking the buns and cookies at Haggis farm again this year. SIPOA will have a booth this year and will do a survey regarding how and why visitors have come to this BBQ, also they will hand out balloons. They will also provide information about SIPOA. Stolting has created a site plan on the computer with the help of (photo shop) We should be able to annually make adjustments to meet our needs. Athena George of Parks Canada reports that they will only be able to bring one of the local native artisans this year (due to cutbacks) Dawn Wood was directed to proceed to inviting local native people to attend our celebration and also to take part in the opening ceremony if they so desire. She was also approved to give a small stipend and a meal if she saw fit. Tyler
9. The Lion’s made a donation of $500.00 towards the purchase of a more effective sound system for the medical clinic. (Formerly called a ghetto blaster!) Sam Peramaki will send a thank you note to the Lions.
10. Trincomali Community Arts Council – Donna-Fay Digance moved, seconded by that “the Saturna branch of the Trincomali Community Arts Council (TCAC) come under the auspices of the Saturna Community Club” and that “this branch of the TCAC requests the sum of $600 towards the purchase of portable grid wall panels and fittings. And additional $400 for the LED battery clip-on display lighting.” This would be a total of $1000, and would be used by Saturna Artists to mount art displays at various venues. After some discussion it was decided that there was no benefit to the Saturna branch to be under the auspices of the SCC, however the second part of the motion was CARRIED The purchaser will be reimbursed by the SCC Treasurer.Anne Popperwell
11. Trincomali Community Arts Council Grant. - has sent an explanatory letter to the TCAC regarding the $10,000 which apparently is destined for the “arts” on Saturna. She explained the activities of the SCC and how we would be able to direct funds in order to enhance the “Arts” at the Community Hall. She will send a more formal request once TCAC has responded to the initial letter.Priscilla Ewbank
12. Library annual Report – Sam Peramaki apologized for not bringing the Library annual report to the AGM. She read it aloud. It reported on the upgrades to the library space, and the new books brought in, as well as the cessation of the CAP grants.
13. Terms of reference- the new terms of reference for the recycling committee will be reviewed by the Executive committee, who have been give the authority to approve them.
14. Fog Alarm building is the new Heritage Centre. reports that all is well, the facility is open and they are looking for HOSTS for the summer months.Richard Blagborne
15. SIPOA reports the dispute over the payment in lieu of taxes from has now set the value of the park land on Saturna to be $11,000,000.
